YOUR INFORMATION, EXPLAINED
Privacy statement.
Effective October 5, 2026. Last updated October 6, 2026.
Groundwork provides managed websites and customer-inquiry services for contractors. This statement explains the information involved, the different roles we and our clients play, and how to contact us about privacy.
1. Who this statement covers
This statement covers the Groundwork agency website operated by RONRON LLC at groundwork.miami, communications with Groundwork, and the website, CRM, and messaging services we provide to business clients.
For our own prospective clients, clients, billing, and support, Groundwork determines how information is used to operate the agency. For a contractor's customers and inquiries, the contractor generally determines the purposes of processing, and Groundwork handles information on the contractor's instructions as its service provider or processor, as applicable.
A contractor's own privacy notice governs its customer relationship. This statement does not replace that notice, the contractor's consent process, or our service agreement with the contractor.
Client mobile-app access is deferred. AI voice intake, AI meeting note-takers, and cloud transcription are not part of the practices described here. We will review and update the applicable disclosures before enabling them.
2. Information involved
- Agency inquiries and bookings. Name, email address, business name, optional phone number, approximate annual revenue range, preferred language, your request for inquiry follow-up, appointment details, and the contents of your communications.
- Client accounts and support. Business contact details, authorized-user information, website content and project images supplied by the client, support communications, and permissions for connected services such as Google Business Profile.
- Client customer information. Names, contact details, service locations, project requests, appointment information, inquiry status, messages and attachments, campaign delivery records, and consent or opt-out records supplied by the client or captured through enabled services.
- Reviews. Information needed to send review requests and public review content accessed through authorized connections. Reviews posted to Google are also subject to Google's terms and privacy practices.
- Billing. Billing contact information, invoices, subscriptions, payment status, and limited payment-method information made available by Stripe. Full payment-card details are handled by Stripe, not collected by Groundwork's website.
- Consented sales-call recordings. Audio, video, display names, and screen-shared content captured locally during selected sales calls, as explained below.
- Technical information. IP address, browser and device information, requested URLs, timestamps, and related information processed by hosting and other providers to deliver and secure their services.
Information comes directly from you, from a contractor you contact, from authorized integrations, and from the technical operation of the services you use. Please do not send full payment-card details, government identification numbers, health information, or other unnecessary sensitive information in inquiry forms or messages.
When the agency intake form is enabled and you submit it, the details are processed by a Vercel server function and sent through Resend to Groundwork's business inbox. Resend also sends a confirmation to your email address in your selected language, including a demo link when available. The form does not create an appointment or automatically import your details into our client CRM. Google Calendar separately collects booking details when you choose to schedule a call. Client website forms and messaging services may collect information for the relevant contractor. Booking and payment providers process information under their applicable terms.
3. Why information is used
Groundwork uses agency information to respond to inquiries, arrange meetings, assess requested services, onboard clients, provide support, collect payments, maintain necessary business records, and protect the services. Approximate revenue helps us understand business fit; your language selection determines the confirmation email and demo version. Requested demo emails and inquiry follow-up are not enrollment in a recurring promotional campaign. You may ask us to stop follow-up at any time. Groundwork does not run its own promotional SMS campaigns at launch.
On a contractor's instructions, we process customer information to capture inquiries, organize customer records, send authorized follow-up and appointment messages, request honest reviews, and operate approved past-customer reactivation, referral, and promotional campaigns. The messages identify the contractor whose services they concern.
We do not sell personal information or share it for cross-context behavioral advertising. We do not use one contractor's customer list to market Groundwork or another contractor. We may use or disclose information where necessary to comply with law, protect rights, investigate misuse, or respond to a lawful request.
4. Providers and people with access
We use the following providers where the relevant feature is enabled.
- Vercel
- Website hosting, server-side intake processing, and operational and security request information. The intake handler does not deliberately log submission contents or maintain a separate customer database.
- Google Workspace, Google Calendar, and Google Meet
- Business email, calendars, appointment booking, video meetings, and related communications. The current booking schedule creates Google Meet meetings.
- Resend
- When intake is enabled, delivers the agency notification and your confirmation email. It processes message content, sender and recipient addresses, and delivery information. Provider-held email records follow its applicable retention terms, separate from our inbox copies.
- Cloudflare Turnstile
- When intake is enabled, checks submissions for automated abuse. Cloudflare processes technical browser and network information and verification tokens. This is a security service, not advertising tracking.
- Client website, CRM, and messaging platform
- A third-party software platform that hosts client websites and forms, stores CRM records, and runs messaging workflows, authorized integrations, and related delivery services. The platform, its contracted providers, and telecommunications carriers process the information needed to operate these features. Clients receive the platform's identity and subprocessor information in their service agreement.
- Stripe
- Hosted payments, invoices, subscriptions, and related payment processing and fraud prevention.
- Zoom
- Sales meetings when a Zoom call is arranged separately, and the information needed to connect participants. Meeting providers process the live call even when Groundwork's recording is saved only locally.
- OBS Studio
- The local recording software used for selected consented sales calls. Groundwork does not use OBS to stream these recordings or upload them to a recording service.
At launch, Groundwork-side access to contractors' customer records and messages is limited to the owner. A contractor's authorized users can access its own information according to their account permissions. Provider personnel may have access under the providers' applicable service and support arrangements.
Access to sales-call recordings is limited to the owner and authorized internal trainees who need them for training and feedback. We do not provide these recordings to outside coaches or publish them. Trainees do not automatically receive access to live client customer records.
We may also disclose limited information to professional advisers or authorities when necessary for legal, accounting, security, or compliance purposes. Providers may process some information for their own legal, security, and account-administration obligations. Their applicable terms and privacy notices govern those activities.
5. Messaging and consent
Contractors are responsible for providing accurate customer lists, giving required notices, and obtaining and retaining the permissions required for their campaigns. Groundwork requires appropriate permission records and may pause a campaign where those records are missing or the proposed use does not match the permission obtained. We do not claim to automatically verify every contact's consent.
A previous purchase, a phone number in a CRM, acceptance of this statement, or submitting an inquiry is not blanket permission for promotional texts. Campaign-specific consent and opt-out requirements apply separately. Promotional SMS consent, where required, is not a condition of purchasing services.
For texts sent through an enabled messaging service, reply STOP to opt out or HELP for assistance. You can also contact the sending business or Groundwork about an opt-out. Message frequency varies by the agreed campaign and your interactions. Message and data rates may apply. Marketing emails provide an unsubscribe method. Essential non-marketing service communications may continue through appropriate channels.
Mobile numbers and SMS opt-in or consent information are not sold or shared with third parties or affiliates for their own marketing. They may be processed by the contractor concerned and service providers as necessary to deliver authorized messages, honor opt-outs, and meet legal requirements.
Review requests seek honest feedback. They do not require a positive rating or route only satisfied customers to public review sites.
6. Local sales-call recordings
We may record selected sales calls solely for internal training and feedback. Recording starts only after every participant has consented. We explain the purpose before asking, and you may decline and continue the conversation without being recorded. We pause capture for a new participant until that person has consented. You may ask us to stop recording at any time.
Recordings are saved locally using OBS Studio. We do not enable cloud recording or meeting bots for this workflow and do not upload recordings or transcripts to cloud AI tools or use them to train AI models. This does not mean the live call bypasses the processing of its meeting provider, such as Google Meet or Zoom.
Recordings, training clips, and backup copies under our control are deleted within 90 days of the original call, unless preservation is legally required. Any legally required preserved copy is restricted to that purpose and is not retained for ongoing training.
These arrangements concern Groundwork's own sales calls. They do not authorize recording a contractor's calls with its customers. Publishing this statement does not replace consent on the call.
7. Cookies, fonts, and tracking
The Groundwork agency website currently has no analytics scripts, advertising pixels, or cookies set by its own page code. It does not run retargeting or session replay. Hosting and security providers may still process technical request information. When configured, Cloudflare Turnstile runs on the intake page to protect the form. Its technical processing is separate from the data entered in the form.
The fonts on this site are served from our own website, so loading them does not send your browser to a font provider. Following a booking, payment, or other external link brings you to a service with its own privacy and cookie practices. This site's lack of analytics is not a claim that those external services collect no information.
Client sites and messaging services may process operational delivery or interaction information according to their enabled features. Their own notices must reflect their configuration. Before Groundwork introduces optional analytics, advertising tracking, or materially different integrations, we will update relevant disclosures and implement any required consent or opt-out controls.
8. Retention and deletion
- Sales-call recordings
- Up to 90 days from the call, including derived clips and backups under our control, subject only to a legal preservation requirement.
- Prospects who do not become clients
- Inquiry and booking records are deleted 12 months after the last interaction, unless needed for a specific legal obligation or dispute. Recordings retain their shorter limit.
- Active client customer records
- Kept as needed to deliver the contracted service and follow the client's lawful instructions, including applicable deletion requests.
- Client data after cancellation
- A 30-day window after service cancellation is provided to arrange an export of available data or a supported transfer. After that window, we delete the client's customer data under our control and initiate the applicable provider deletion process, subject to legal requirements. Export formats and transfer availability depend on the service.
- Billing, agreements, and compliance records
- Limited records are retained for applicable tax, accounting, legal, dispute-resolution, and compliance requirements. These are separate from the customer's operational CRM data and are not retained indefinitely for marketing.
- Opt-out and permission records
- Minimum necessary records may be retained to honor communication choices and demonstrate compliance. A deletion request does not cause someone to be resubscribed.
Deleting an active account does not necessarily erase every provider backup immediately. Our client platform's data-processing terms treat archived backups separately and provide for their isolation and protection. Provider-controlled backups, security records, and legally required records follow the applicable provider processes and obligations. We do not promise that every provider copy disappears at the end of the 30-day export window.
We cannot delete copies a contractor independently exports or keeps in its own systems. Contact that contractor about those copies. Legal preservation overrides routine deletion only for information that must be retained and only for the required purpose.
9. Your choices and privacy requests
Contact privacy@groundwork.miami to ask about information we hold, request access or correction, request deletion, or raise a privacy concern. Explain your relationship to Groundwork and identify the contractor involved if the request concerns its services. Please do not email identity documents or other sensitive information unless an appropriate verification method has been agreed.
Depending on applicable law and the circumstances, you may have rights to access, correction, deletion, portability, restriction, objection, withdrawal of consent, or appeal. We assess requests under the laws that apply, may verify your identity proportionately, and respond within the applicable legal time limits. Some records may be exempt from deletion. We do not retaliate against people for exercising applicable privacy rights.
If we process the information for a contractor, we will direct the request to that contractor or help it respond under its instructions and our obligations. Do not assume that contacting Groundwork changes records the contractor holds independently. You can also contact the sending contractor directly to stop its messages.
If you disagree with how we handle a request, reply to the privacy contact for review. Where applicable, you may appeal or complain to the relevant regulator.
10. Security, location, and children
Access is limited according to the roles described above. We use safeguards appropriate to the information and services involved and require confidentiality for authorized internal access. No internet transmission, local device, or storage system can be guaranteed completely secure.
Groundwork operates from the United States. Our providers may process information in the United States or other countries under their applicable service arrangements. We do not promise US-only storage. Where applicable law requires transfer safeguards, those must be established before the relevant processing.
Our services are intended for businesses and adult business contacts, not children. We do not knowingly collect personal information from children under 13. Contact us if you believe a child has provided personal information so we can investigate and address it.
11. Changes and contact
We will update this statement when the operator, services, providers, or data practices change. Material changes will be communicated through an appropriate notice and any consent required by law will be obtained before the new processing. The date at the top of this page shows when the statement last changed.
